PRIVATE EA TO PRINCIPALS – FAMILY OFFICE

This is a job for an efficient and detail-oriented individual, assisting the UHNW Principal of an established family office with all areas of their private affairs and liaising closely with their business and philanthropy teams. This is an important and confidential position and would suit an experienced and mature candidate who is proactive and self-motivated to work with autonomy but can also fit in well with a busy household.
Hours: 10am-6pm, Monday to Friday
Location: London, W8
Salary: Dependent upon experience
Start Date: Late April / early May
Interviewing: ASAP
Responsibilities include, but not limited to:
PA Duties:
- Maintaining the personal Outlook diary for Principals
- Arranging meetings
- Making restaurant and theatre bookings
- Making travel arrangements.
- Maintaining electronic contact records
- Processing invitations received
- Dealing with all incoming personal post
- Dealing with email requests as referred by principals
- Keeping files and records up to date and easily accessible
- Personal shopping as required, including suggestions for presents for family members
- Research as required
- Organisation of events and parties including outside catering and staffing
- Care of family’s guests when at primary residence or other family properties
- Liaison with charitable trusts and business interests
- Care for the family’s dogs, including travel and medical arrangements
- Other support as required
Overseas liaison
- Liaise with local property managers in London, the country and overseas to ensure that the properties are ready for the principals’ arrival
- Ensure that adequate staff are available for the family’s visits
- Ensure that preferred supplies of personal items (e.g. soap, linens) are available for family’s visits
- Manage occasional use of the overseas and UK properties by family and friends of the family
Candidates must be / have:
- Substantial Private PA experience in a similar UHNW household / family office
- Calm, unflappable, and able to look 3-steps ahead and aware of the need to double check all arrangements
- High level of literacy and numeracy
- Educated to degree level
- High level of computer literacy, including experience of using Microsoft Office
- Excellent interpersonal skills and ability to work with people at all levels and from a variety of ethnic and cultural backgrounds
- Excellent attention to detail and commitment to high standards of delivery
- Ability to manage multiple competing priorities, to work on own initiative proactively identifying problems and potential solutions.
- Ability to work well under pressure
