Family Office Assistant / Charity Administrator

Excellent opportunity for experienced PA/Administrator to join a busy Family Estate Office on a beautiful Hampshire estate for a high profile HNWI and their charitable foundation. This position is central to the effective running of the Family Office, assisting and working very closely with the General Manager and Senior House Manager.
Hours: 9am-5pm, Mon to Fri (hybrid working patterns could be considered)
Location: Based on Hampshire / Berkshire border
Salary: Dependent upon experience
Start Date: ASAP

Responsibilities include, but not limited to:
Family Office
- Correspondence
- Providing administration and office support to Senior Managers and assisting with overflow work from other team members
- Administration of large residential properties overseas, including family visits, refurbishments, staffing requirements
- Planning and arranging couriers/shipments overseas.
- Health & Safety administration, including issuance of H&S policy, risk assessments and booking of training for all staff when required.
- Attending and taking minutes at Heads of Department meetings, IT management/set-up in preparation for video and conference calls, mitigating tech issues with IT dept.
- Maintaining important paper and digital archives.
- HR administration
- Maintaining office supplies and stationery
- Estate vehicle and mobile phone contracts/administration
- Updating asset tracking database.
Charitable Foundation
- Data entry and maintenance of Benefactor grant giving database.
- Administration of scholarships and grant awards involving assessment of grant applications, follow up with applicants, preparation of information to trustees and regular contact with grantees.
- Assisting in the preparation of regularly scheduled reports, manipulating statistical data and formulating spreadsheets and presentations. Minute taking at trustee meetings.
- Website and social media updates.
- Administration of 360Giving information.
- Monitoring and responding to general enquiries, invitations and correspondence
- Maintaining charity governance records and compliance administration, filing
- Maintaining contact lists and image libraries
Candidates must be / have:
- Strong computer and Internet research skills; proficiency in MS Office including Excel
- Excellent written and verbal communication skills
- Proven experience maintaining website, database/data entry and analysing data, will be an advantage
- Knowledge of the charitable sector / charity administration an advantage
- Ability to work well with all levels of staff and contacts
- Sensitivity to confidential matters
- Knowledge of office management systems, procedures and equipment
- Excellent time management skills, the ability to prioritize work and work methodically
- Attention to detail and problem-solving skills
- Own transport – office is in remote rural location
- Excellent references essential
