Boutique global strategic advisory firm is seeking an Executive Assistant to primarily support the CEO but also occasional support to some Senior Managers within the firm in a timely and professional fashion. The Executive Assistant will work directly with C-level executives and will be responsible for performing a number of administrative duties.
Duties and responsibilities include providing administrative support to ensure the efficient operation of the office; supporting managers and employees through a variety of tasks related to organization and communication including scheduling meetings, assistance in organizing events, and interfacing with high profile clients. Successful candidates will be detailed oriented, organized, and able to work in a fast-paced environment. The ability to multi-task while maintaining complex schedules and managing administrative support is essential to the position. This is a boutique firm that has a collegial and familial culture and is looking for someone who can fit in seamlessly and get along with our outgoing and high energy team. Highly proficient written and spoken English is an essential requirement.
Hours: Full time, flexible to work to different time zones
Location: Remotely from your own home
Salary: Circa £55k-£60k potentially flexible above for the right candidate
Start Date: ASAP

Responsibilities include, but not limited to:
- Replying to emails on behalf of the executive and jumping in on behalf of the executive to manage meetings and call scheduling
- Organizing meetings, including scheduling, sending reminders and making reservations
- Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
- Managing staff in the executive’s homes and assisting them with questions, annual travel booking and purchasing household items from time to time
- Managing doctor’s appointments and personal appointments for the executive and keeping an ongoing calendar of personal contacts including doctors, dentists, trainers, beauticians and others in various cities and countries
- Shopping for personal and professional gifts and maintaining a list of birthdays and other holiday gifts for executive’s friends and families
- Organizing travel including flights, hotels, drivers and reservations
- Basic receipt management to submit to expense and finance team
- Managing insurance and reimbursement claims
- Prepare internal and external corporate documents for team members and clients
- Uphold a strict level of confidentiality
Candidates must be / have:
- Proven work experience as an Executive Assistant
- Knowledge of office management systems and procedures
- MS Office and fluent English skills
- Outstanding organizational and time management skills
- Ability to multitask and prioritize daily workload
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Bachelor’s degree required
- Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
